Set up Your Options for the new Password Reset Tool

The Password Reset Tool allows you to reset your UTORid password if you have forgotten it.

You can choose from the following methods:

  • SMS text message to a mobile phone
  • Message sent to an alternate email address
  • In-Person only (if you choose this option, you will need to visit a Help Desk to reset your password)

For the first two methods, a security code will be sent to you which you use to verify your identity on the password reset web page. If you choose In-Person Only you will need to visit a Help Desk.

If you choose either the SMS text message or alternate email address option you may change your account recovery method yourself.

Setting Your Password Reset / Account Management Options

  1. Go to UTORid Management and select set up your password reset / account management options under Password and Account Management
  2. Enter your UTORid and password.

    Log In

  3. Under Password Reset & Account Management Options fill in the fields for the requested information. To use In-Person Only (Help Desk), you do not need to fill in any of the fields.
  4. In step 2, select your preferred method. If you choose In-Person Only (Help Desk), you will only be able to reset your password by visiting a Help Desk in person with a valid ID.
  • Via SMS - Mobile Phone
  • Alternate email
  • In-Person Only (Help Desk)
  • Click Update when finished.

  • You will then see a Password Reset Confirmation window. Review the instructions and click Confirm. After clicking on the link, you will see a confirmation window.No other action is required.
  • Once you have set up your password recovery options, it can take up to 20 minutes before you can recover your password.

  • Close your browser when finished.

    UTORid Service Eligiblity

    Depending on your affiliation with the University (Undergraduate Student, Graduate Student, Faculty, Alumni, etc) you will be eligible different services which use the UTORid as login credential.

    Services Utilizing UTORid

    Below is a list of the services that require a UTORid and password. However, you may not be eligible for all of these services.

    UTmail+ — UTmail+ is the student email and calendar service at the University of Toronto. The service is powered by Microsoft’s Office 365 platform and supports integrated email, calendaring, contacts and task lists.

    UTORexchange — UTORexchange is the University's institution-wide email and calendaring system for faculty and staff. This service provides seamless integration of email, webmail, and calendaring.

    UTORmail — UTORmail is one of the email services at the University of Toronto for staff and faculty.

    Blackboard/Portal — The Portal is the place for students and faculty to access course material.

    Computer access on campus — Computer Access Facilities are located in many libraries around campus. They offer workstations with full Internet access.

    Wireless internet access — The campus wireless network (UTORcwn) provides wireless internet access around campus. 

    UTORweb — UTORweb provides space on U of T's web server for personal webpages, pictures, word-processing documents, etc. You can use it to share documents with others, or you can use it as a way to save and access documents from any computer connected to the Internet.

    Library online resources — U of T has subscriptions to many electronic resources, which you can access with your UTORid or library barcode.

    UTORvpn — Access to certain resources is restricted to computers connected on the UofT campus network. To allow access to these resources from outside the campus network, faculty, staff, and graduate students can use the UTORvpn (Virtual Private Network) service.

    Additional Accounts at U of T

    Note: The Help Desk does not provide support for the types of accounts listed below.

    ROSI — ROSI accounts are used for course selection and academic and financial records. Help with ROSI (including PIN resets) may be obtained through your registrar's office.

    Department-specific accounts — These accounts may be used for departmental resources. For information on these accounts, please contact your department.

    Forwarding Email from UTORexchange

    Note: with UTORexchange, the forwarding address must end with @utoronto.ca or @toronto.edu. You may not forward a UTORexchange account to an address ending in @alumni.utoronto.ca.

    To Add Forwarding:

    1. Go to the UTORid Management page and click on change options.
    2. Enter your UTORid and password.
    3. Click the Authenticate button.
    4. Scroll down until you see the section Regular Mailbox, or Postoffice Forwarded Mailbox.
    5. Make sure there is a dot beside Forwarded Mailbox, then type the email address you wish to forward to.
    6. Scroll down the page until you see submit the modification request and click on the modification button.
     

    To Remove Forwarding:

    1. Go to the UTORid Management page and click on change options.
    2. Enter your UTORid and password.
    3. Click the Authenticate button.
    4. Scroll down until you see the section Regular Mailbox, or Postoffice Forwarded Mailbox.
    5. Make sure there is a dot beside Regular Mailbox.
    6. Scroll down the page until you see submit the modification request and click on the modification button.

    Note:

    The University is not responsible for any messages once they are forwarded. Some large email providers (Gmail, Hotmail, Yahoo and others) are known to delay forwarded U of T email. Since all mail sent to you is forwarded (including spam), these services throttle the email received. If you have questions or comments regarding this problem, either remove forwarding or contact your email provider. No copies of forwarded email are retained by U of T.

    Is your UTORexchange account forwarding to another email service? If you are, all email messages are sent to the forwarding address. If forwarded messages are not being received, you may want to consider removing forwarding.

    Configure Outlook 2011 for Macintosh for UTORexchange

    These instructions assume you have already installed Microsoft Office 2011.

    1. Click on the Outlook icon in the dock.
    2. If you are opening Outlook 2011 for the first time, you will see the Welcome screen. Click on the Add account button, otherwise to add a new account, go to Tools / Accounts.

    3. If you currently have another account set up, choose Exchange from the Add Account pull-down menu, otherwise, choose Exchange Account from the right pane.

    4. In the next window:
      • Type your email in the E-mail address field.
      • Choose User Name and Password for Method.
      • Type your utorarbor\UTORid into the User name field (replacing UTORid with your actual UTORid)
      • Type your password into the Password field.
      • Ensure Configure automatically is selected.
      • Click Add Account.

    5. Outlook will detect the Exchange server and populate your account

    Verify the advanced settings

    1. Open Outlook 2011 for Mac.  From the Tools menu, select Accounts. 
    2. Select the Exchange account from the list.
    3. Click the Advanced... button.
    4. Select the Server tab.

      The Exchange server fields should be as follows:
    • Exchange server: https://ews2010.utoronto.ca/EWS/Exchange.asmx
    • The setting "Use SSL for connect (recommended)" is checked

      The Directory service fields should be as follows:

    • Server: https://owa.utoronto.ca/ews/Exchange.asmx
    • The setting "Log in with my Exchange account credentials" should be checked

    Click OK to close the Edit Account window and close the Accounts window.

    Set up Outlook 2013 or 2016 (Windows 8) for UTORmail

    After installing Microsoft Outlook, follow these instructions to set up UTORmail on your Windows 8 computer.

    1. Start Outlook. If this is your first time using Outlook, you will be taken through the Setup Wizard. Click Next.
    2. Select Manual setup and click Next.

    3. Select POP or IMAP as the service type. Click Next.

    4. Enter your User Information. Take note of the Server Information. Choose IMAP as the Account Type. Enter proxy.mail.utoronto.ca as the Incoming mail server, and smtp.utoronto.ca as the Outgoing mail server. Then click on More Settings...

    5. Under the Outgoing Server tab, check My outgoing server requires authentication and Use same settings as my incoming mail server

    6. Under the Advanced tab, ensure the Incoming server is 143 and the encryption type is set to AUTO. For the Outgoing server set the encryption type to TLS and change the port number to 587. Click OK.

    7. If you see this Internet Security Warning, click YES.

    8. Click Next. You should see a Test Account Settings window appear and if successful you can click Close to continue.
    9. Click Finish.

    Accessing UTORmail

    Webmail
    Webmail — The U of T Webmail interface allows you to access you email account using a standard web browser over most internet connections.
    Outlook 2013
    Outlook 2013/2016 (Windows 8) — Outlook is the email client included with Microfsoft Office. This software also contains an address book and calender.
    Outlook 2010
    Outlook 2010 — Outlook 2010 is the email client included with Office 2010. This software also contains an address book and calender.
    Outlook 2007
    Outlook 2007 — Outlook 2007 is the email client included with Office 2007. This software also contains an address book and calender.
    UTORmail Thunderbird
    Thunderbird — Thunderbird is a free email client. It is compatible with Windows and Mac OS X.

    Configure Outlook 2016 on Windows for UTORexchange

    If you upgraded from a previous version of Outlook, your settings should import into Outlook 2016 and you will just have to log in with your UTORid and password after opening the program.

    If you are not upgrading from an older version of Outlook, you will have to set up your email account when opening Outlook 2016 for the first time.

    1. Start Outlook. In the Welcome screen, click Next.
    2. In the Add email screen, select Yes, then click Next.
    3. Type your name, email address and password in the appropriate fields and click Next.

    4. Click Allow to let Autodiscover configure your account.

    Help with UTORexchange

    Recovering Deleted Messages
    Please note that the mail administrators cannot restore UTORexchange folders. If you need to recover deleted messages, you should use the Recover Deleted Items feature available in Outlook on a Windows machine, or in the web interface. The articles below provide instructions on using the feature. If you have problems using it, contact your local IT support person, or one of the Help Desks .

    Other mail clients such as Thunderbird, Outlook for Mac and Entourage do not allow email recovery. Use the OWA web access instead.

    UTORexchange Calendar
    UTORexchange Calendar — In addition to basic calendaring features, UTORexchange Calendars allow for sharing of calendars, setting up meetings, and managing resources.
    Shared Mailbox
    Shared Mailboxes on UTORexchange — Shared mailboxes fill the role of departmental email accounts under UTORmail. Existing departmental email accounts may be migrated to become UTORexchange Shared Mailboxes.

    LDAP: Access the U of T online email directory when writing mail

    This article is for UTORmail clients.  Those who are using UTORexchange should use the Global Address List (GAL).

    LDAP allows you to find or verify email addresses by connecting to the University of Toronto's online address book. Through the U of T LDAP, you can use your mail program to send email to people at U of T without knowing their email address beforehand. If you want to be able to do this, follow the appropriate link below. 

    Set up UTORmail on Outlook 2016 (Mac)

    1. Go to Tools > Accounts, click the + sign and choose Other Email.
    2. Enter the following in the appropriate fields:
    • Your email address
    • Your UTORid password
    • User name: your UTORid
    • For Type, choose IMAP
    • For Incoming server, type mailbox##.utcc.utoronto.ca where ## is your configuration number. (If you don’t know your configuration number, go to www.utorid.utoronto.ca and click Get information. Log in with your UTORid and password.)
    • Choose Override default port and enter 993.
    • Choose Use SSL to connect.
    • In Outgoing server type smtp.utoronto.ca.
    • Choose Override default port and type 587.
    • Choose Use SSL to connect.

  • Reducing mailbox size Outlook 2013 and Outlook 2016

    Reducing the size of a mailbox can be achieved in three simple steps as set out below:

    1) Create a Personal Folders (PST) file.
    2) Create a subfolder in the new Personal Folders.
    3) Move a message to the subfolder.

    Create a Personal Folder (PST) File

    1. In the Home tab, click New Items > More Items and choose Outlook Data File.
    2. In the New Outlook Data File window, type a name for your Personal Data File, choose a save location and click OK.
    3. You can add an optional password at this step. Leave the password fields blank if you don't want one. Click OK.
    4. The data file will appear in the folder list in Outlook's Mail view.

    Note: If you already have a Personal Folder file you wish to use rather than create a new one, open it by going to the Home tab, clicking on Open and clicking Open Personal Data File.

    Create a sub-folder in the Personal Folders

    1. Right-click the new Personal Folders you just created, and click New Folder.
    2. In the Create New Folder dialog box, type the name for your sub-folder.
    3. Under Select where to place this folder, verify that your new personal folder is selected, then click OK.

    Move a message to Personal Folders
    Move by dragging:
    Select the message and drag it to the sub-folder.

    Move by right-clicking:
    Right-click the message, and click Move. Choose the folder from the list or click Other Folder if your folder does not appear.

    Select the message and click the Move button. Choose the folder from the list or click Other Folder if your folder does not appear.

    Archiving email messages using Outlook 2011 and Outlook 2016

    There are two reasons to archive email messages: first, it allows messages to be accessed when the computer is not connected to the Internet, and second, it allows one to delete messages from the server — thereby reducing the total storage used that counts towards one's remote storage quota — and still maintain a record of any archived messages.

    1. Select the messages you want to archive. You may select multiple messages by holding down the Command Key/Apple Key and clicking on the messages to be archived. Optionally, you can select a number of consecutive messages by clicking on the first message, pressing and holding the Shift key, and then clicking on the last message.
    2. Drag the messages to a folder under On My Computer.

    To use a shared UTORexchange mailbox, you must configure your email client to include the shared mailbox.

    Outlook

    1. Start Outlook and log in to your UTORexchange account.
    2. Open your account settings so that you can modify them:
      In Outlook 2010:
      • Go to the File tab, choose Info, and click Account Settings
    In Outlook 2007:
      • Go to Tools and choose Account Settings
    1. Highlight the Microsoft Exchange Account and click Change.

    3. Click Add.
    4. In the window that appears, type your AMS departmental code (for example, for Computing & Networking Services, you would type CNS). Click OK.

    5. In the next window you will see a list that may include people, shared mailboxes, resources, etc. Choose your shared mailbox and click OK.
    6. Click OK, Next, Finish and then Close. The shared mailbox will appear below your individual mailbox in the folder list at the left of the Outlook screen.
    7. Restart Outlook (you must do so before you can access the shared mailbox).
    8. Expand the shared mailbox by clicking on the plus sign beside it. You will see the folder list for the mailbox. Click on the Inbox to see its contents.

    OWA

    If you are the owner, or of if you have been given access by the owner, you can use Outlook Web Access (OWA) to view the shared mailbox.

    The following method works only in Internet Explorer using OWA Premium.

    1. Open Internet Explorer.
    2. Go to https://owa.utoronto.ca/ and login.
    3. In the top right corner, click on the down arrow beside your username.

    4. Type the name of the shared mailbox or the email address and click Open.
    5. The shared mailbox will open (in Outlook Web Access) in a new browser window.

    The following method works in both OWA Light and OWA Premium.

    1. Open a web browser.
    2. Go to https://owa.utoronto.ca/owa/firstame.lastname@utoronto.ca (where you replace firstname.lastname@utoronto.ca with the email address of the shared mailbox). You will be taken to the same login screen you see when you access your own mailbox.
    3. Log in with your own username and password at the prompts. The main OWA screen will display the Inbox and other folders for the shared mailbox.

    Outlook 2011/2016 on Macintosh

    1. From the Tools menu, choose Accounts.
    2. In the window that opens, select your account and click Advanced.
    3. Go to the Delegates tab and under People I am a delegate for, click the + sign.

    4. In the Search field, type the email address you are trying to add. Select it from the list and click Add or OK.
    5. Click OK to get back to the accounts window and close this window.
    6. You will see the login screen. Log into your email account. The shared account will appear in the list of folders below the folders for your personal account.

    Please note that all mail sent from this account will be placed in the Sent Items folder for your individual account.

    Entourage 2008 on Macintosh

    1. From the File menu, choose Open Other User’s Folder.
    2. In the window that opens, search for the user by clicking the Find User icon, then type the AMS departmental code (for example, for Computing & Networking Services, you would type CNS) into the search field at the top and click Find.

    3. Select the name from the list below the search field and click Advanced. (Note: if you are using Entourage 2008 EWS or Outlook 2011, you will not need to complete this part. Proceed to step 5 below.)

    4. The name and email address fields should contain the appropriate information. If they do not, enter it now.
      In the Server address field, type:
      owa.utoronto.ca/exchange/firstname.lastname@utoronto.ca
      (replacing firstname.lastname@utoronto.ca with the email address for the shared mailbox). Click OK.
    5. In the Open Other User's Folder window, choose Inbox from the Type pulldown menu and click OK.
    6. A folder with the mailbox name will appear in the mail folders list in the left of the Entourage window. It will initially appear as not connected, but after a short interval, will connect and display the Inbox. If the Inbox is not visible, expand the folder by clicking the arrow beside it.

    NOTE: if you are having problems, make sure you have applied any Microsoft updates for your email software and try the above steps again.

    For TAs: Accessing your pay statements online

    If you are an active member of CUPE 3902 or were a member at any point in the last 3 months, your pay statements are available online at Employee Self-Service for non-appointed / casual employees.

    Technical requirements:

    • You must have popups enabled to see pay statements
    • ESS is supported on laptops, desktops, and the four major browsers: Internet Explorer, Firefox, Safari and Chrome.
    • ESS is not supported on tablets, smart phones, or other mobile devices.


    How to access:

    1. Go to http://aws.utoronto.ca/services/employee-self-service-ess/
    2. Click Login to ESS. Enter your UTORid and password in the Weblogin page and click Log In (UTORid information).
    • If you are accessing ESS for the first time, you will need to enter the following:
      • The last four digits of your Social Insurance Number (SIN).
      • Your Personnel Number
      • Your Date of Birth
      • Security Questions and answers
    • If you have accessed ESS before, you will need to answer one of your security questions
  • On the top left of the screen select ‘My HR & Equity’
  • In order to log out, click log off. However, you will not be logged out of the University of Toronto's Weblogin until you exit the browser completely (all windows and tabs closed).

    BES (Blackberry Enterprise Server) Activation and Preparation for UTORexchange email and Calendaring

    If you are running BlackBerry 6 OS or 7 OS and wish to set up your UTORexchange account, you can use the University's Blackberry Enterprise Server (BES). If you are running BlackBerry 10 OS, you must use our ActiveSync instructionsinstead. 

    Note: If this is not a new Blackberry, back up your device to your computer using the Blackberry Desktop Manager (BDM), and write down any password from your password keeper application, in case you require the password during activation.

    1. If you are currently using BIS (the non-university setup coordinated through your phone company, log in to the BIS website and remove your UTORexchange account entry (firstname.lastname@utoronto.ca). Otherwise, you will receive two copies of each email on your Blackberry. This will take approximately 5 minutes.
    2. Send an email to help.desk@utoronto.ca with your department, name, UTORid and/or email address, and Blackberry phone number, which will be added to the BES.
    3. You will be assigned an activation code. Use this code to "Enterprise Activate" it to connect.

    Time considerations are:

    • Backup of Handheld - about 5 to 10 minutes
    • Handheld wipe - about 10 minutes
    • Restore of any application data back to device using Blackberry Desktop Manager, (BDM) - about 5 minutes.
      This includes any previously received email or other messages, (SMS, IM etc.) and BDM backed up Calendar entries and Contacts (Address Book) likely populated from SyncJe use, before BES Enterprise Activation. Only new messages will be delivered and be visible after activation and a Blackberrry Desktop Manager (BDM) application data restore cannot be performed after activation.
    • Enterprise Activation takes between 10 to 15 minutes depending on wireless coverage and amount of data to be transferred.

    Please note: When you log in to UTmail+ through a web browser, your login is managed by the University of Toronto. Any means of accessing the UTmail+ service other than through a web browser will securely transmit your UTORid and password through Microsoft’s systems.

    1. On the home screen, swipe down from the top of the screen and tap Settings.

      Username: (this is the same as your email address and is usually of the form "firstname.lastname@mail.utoronto.ca").

Under Other UofT Email Services , you can find information on other email services at the University of Toronto not all of which are officially supported by the Information Commons Help Desk.

    Student Email

    UTmail+
    UTmail+ — UTmail+ is the email and calendar service for students at the University of Toronto. New students get a UTmail+ account when they activate their UTORid.

    Staff & Faculty Email

    UTORexchange
    UTORexchange UTORexchange is the institutional email service for faculty and staff which offers integrated email, calendar and contacts services. New faculty and staff get a UTORexchange account when they activate their UTORid.
    UTORmail
    UTORmail — UTORmail is the legacy email service provided to University of Toronto staff and faculty.

    UTORlist
    LISTSERV at U of T — UTORlist/LISTSERV provides a simple mechanism for distributing a single message simultaneously to a group of people. The Help Desk offers support for anyone creating or maintaining a mailing list.

     

    Other UofT email Services

    Alumni Email Services — As an alumni of the University of Toronto, you are eligible for an alumni account. If you graduated after June 2012, you are eligible for a UTmail+ alumni account (ends in @alum.utoronto.ca). Those who graduated before June 2012 can get a Gmail hosted alumni account (ends in @alumni.utoronto.ca). 

    Shared mailboxes — University departments and organizations can obtain a generic email address in the form of something@utoronto.ca (e.g. geography@utoronto.ca).

    Student group email service — Email addresses can also be created for student groups. Help with creating such email addresses is provided by Ulife (see instructions for creating a student group email address).

    UTSC email service — University of Toronto Scarborough offers UTSCid@utsc.utoronto.ca email addresses to faculty and staff. Help is provided by UTSC Information & Instructional Technology Services .

    Other email services — Different departments and faculties have @something.utoronto.ca email address that they offer to students, staff and faculty. For example, Rotman uses @rotman.utoronto.ca If you need support with an email address other than @utoronto.ca, @mail.utoronto.ca, or @alum.utoronto.ca you need to contact the appropriate department/faculty.

     

    Shared Contacts - Owner's Instructions

    o request a Public Folder for shared contacts, send an email to network.services@utoronto.ca. Please indicate the name you would prefer for the Public Folder. A folder and a Reviewer group will be created and a confirmation email will be sent to you. You can then create individual Contacts and/or Distribution Lists in the Public Folder and modify the Reviewer group to indicate who has access to those entries.

    Create Individual Contacts or Distribution Lists in the Public Folder

    1. In Outlook, from the Go menu, choose Folder List.

    2. Find Public Folders at the bottom of the Folder List in the left-hand column and expand the folders listed below so you see the contents.
      Public Folders -> All Public Folders -> UTORexchange Public Folders -> Shared Contacts.

    3. To create a new Contact or Distribution List:
    • Click on the Public Folder assigned to you to select it (ICHD Test in the example above).
    • Click the down arrow beside the New button in the Toolbar and select Contact or Distribution Lists.

    • Follow the same procedure to create your Contact or Distribution List as you would if you were in your personal UTORexchange account.
  • To copy existing Contacts or Distribution Lists from another Contacts folder:
    • While still in the Folder List view, click on the Contacts folder of your personal or shared account.
    • find the Contact/Distribution List you wish to copy, then press and hold Ctrl while dragging the Contact/Distribution List into the Public Folder assigned to you.
  • Modify the Reviewer group to add members

    The Public Folder that has been created for you will contain a Reviewer group. It will have a name similar to _SharedContacts ICHDTest - Reviewer. Modify the membership of this group to give certain people access to the Contacts and Distribution Lists in your Public Folder.

    1. Double-click on the Reviewer Group.

    2. In the next window, double-click on the Reviewer Group in the field halfway down the window.

    5. Find names in the GAL or other available Address Books, and double-click each name you wish to add.

    6. Click OK, then OK again.
    7. When you are back in the window displayed below you can create a shortcut to this Reviewer group in your own Contacts folder. That way, you can make changes to the Reviewer group from your Conctacts folder instead of navigating to the Public Folder to do so.
    • Click Add to Contacts. This will open a new window. Click Save & Close. Then click OK.

  • Click Save & Close.
  • Finally, change the Properties of your Public Folder so that you and others can access it as an Address Book. Go back to the Folder List and find your folder in the Shared Contacts folder. Right-click it and select Properties.

  • Click on the Outlook Address Book tab and put a check mark beside Show the folder as an e-mail Address Book. Click OK.

  • Send an email to the individuals who now have access to let them know the name of the folder.
  • TIP: If you are going to be modifying the entries in your Public Folder regularly, you can create a "Favorite" to access it more quickly.

    1. Right click on the folder and select Add to Favorites.
