Shared Contacts - Instructions for those with Reviewer Permissions (Outlook for Windows)

If you have been given Reviewer permissions to a Public Folder containing individual Contacts or Distribution List(s), you will have to change some settings in Outlook in order to access these Contacts/Distribution lists from the Address Book pull-down menu when you are composing a message.

  1. In Outlook, from the Go menu, choose Folder List.

  2. Find Public Folders at the bottom of the Folder List in the left-hand column and expand the folders listed below so you see the contents.

  3. Find the folder in the Shared Contacts folder, right-click it and select Properties.

  4. Click on the Outlook Address Book tab and put a check mark beside Show the folder as an e-mail Address Book. Click OK.

Outlook for Windows

  1. In Mail view, create a new message. Click To and in the pull-down menu under Address Book, you should see your shared folder. Select it to show the contents Choose one and add it to the To field. Click OK. Compose the rest of your message as usual.

  2. If you added a Distribution Group, press the plus (+) sign in front of it to expand the group. This will prevent issues when someone replies to your email and includes all recipients.

Outlook 2011 for Mac

  1. In Mail view, create a new message. Click the address book icon beside the To field. From the second pull-down menu in the window that appears, you should see your shared folder. Select it to show the list of names.

  2. For each contact you wish to add, select it and click the To button. Once you have finished adding contacts, click the close button. Compose the rest of your message as usual.

Entourage for Mac

  1. In Mail view, expand the Public Folders view until you get to the Shared Contacts Public Folder (Public Folders > All Public Folders > UTORexchange Public Folders > Shared Contacts).

  2. Right-click on the Shared Contacts you wish to use and choose Subscribe.
  3. Create a new message. Click on the To field and from the pull-down menu to the right, choose the Public Folder you just subscribed to. A list of the contacts in the public folder will appear on the right hand side. Double-click each contact you wish to include in the message.Compose the rest of your message as usual.

Configuring Windows Mail (Windows 10) for UTmail+

Please note: When you log in to UTmail+ through a web browser, your login is managed by the University of Toronto. Any means of accessing the UTmail+ service other than through a web browser will securely transmit your UTORid and password through Microsoft’s systems.

  1. From the Start menu, choose the Mail app.
  2. Click Add account. If you already have an account set up in Mail, click the settings icon (Settings icon) and click Accounts, then Add account.
  3. In the Choose an account screen, scroll to the very bottom and click Advanced setup.
  4. Select Exchange ActiveSync.

  5. Enter:
    Your email address: (usually of the form “firstname.lastname@mail.utoronto.ca)
    Password: your UTORid password
    User name: (your username is the same as your email address
    Server:  outlook.office365.com
    Give the account a name.

    Click Sign in.

  6. On the security screen click Enforce these policies.
  7. In the next screen, click Done.

Your mail will begin syncing and appear in the app.

Setup for Windows Clients

Windows Mail (Windows 10) - Windows Mail is the email client included with the Windows operating system.This article will walk you through configuring Windows Mail on a Windows 10 maching for UTmail+.

Outlook 2013 (Exchange) — Outlook 2013 is the email client included with the Microsoft Office 2013 suite for Windows (available for free with your UTmail+ account). This article will walk you through configuring Outlook 2013 for UTmail+. 

Outlook 2010/2007 (Exchange) — Outlook is the email client included with the Microsoft Office productivity suite for Windows. This article will walk you through configuring Outlook 2010/2007 for UTmail+.

Outlook 2007 (IMAP) — Outlook 2007 users who have already configured an Exchange account in Outlook will want to add UTmail+ as an IMAP account to access both simultaneously. Note that for most users, the above (Exchange) setup instructions are preferred.

Thunderbird 24 — Thunderbird 24 is the email client released for free by Mozilla. This article will walk you through configuring Thunderbird on Windows for UTmail+.

Shared Contacts - Owner's Instructions (Outlook 2013)

To request a Public Folder for shared contacts, send an email to network.services@utoronto.ca. Please indicate the name you would prefer for the Public Folder. A folder and a Reviewer group will be created and a confirmation email will be sent to you. You can then create individual Contacts and/or Distribution Lists in the Public Folder and modify the Reviewer group to indicate who has access to those entries.

Create Individual Contacts or Distribution Lists in the Public Folder

  1. Go to the Folder view: click on the ... at the bottom of the Outlook window and choose Folders.

  2. Find Public Folders at the bottom of the Folder List in the left-hand column and expand the folders listed below so you see the contents.
    Public Folders -> All Public Folders -> UTORexchange Public Folders -> Shared Contacts.

  3. To create a new Contact or Distribution List:
  • Click on the Public Folder assigned to you to select it (ICHD Test in the example above).
  • Click New Contact or New Contact Group.

  • Follow the same procedure to create your Contact or Contact Group as you would if you were in your personal UTORexchange account.
  • To copy existing Contacts or Contact Groups from another Contacts folder:
    • While still in the Folder List view, click on the Contacts folder of your personal or shared account.
    • Find the Contact/Contact Group you wish to copy, then press and hold Ctrl while dragging the Contact/Contact Group into the Public Folder assigned to you.
  • Modify the Reviewer group to add members

    The Public Folder that has been created for you will contain a Reviewer group. It will have a name similar to _SharedContacts ICHDTest - Reviewer. Modify the membership of this group to give certain people access to the Contacts and Distribution Lists in your Public Folder.

    1. Double-click on the Reviewer Group.

    2. In the next window, select the Reviewer Group in the field halfway down the window.Click Add Members and choose a location to add members from.

    3. Find names in the GAL or other available Address Books, and double-click each name you wish to add.

    4. Click OK, then Save & Close.
    5. When you are back in Folder view, you can create a shortcut to this Reviewer group in your own Contacts folder. That way, you can make changes to the Reviewer group from your Conctacts folder instead of navigating to the Public Folder to do so.
    • Right-click the Public Folder and choose Move > Copy to Folder.

  • This will open a new window. Select your Contacts, then click OK.

  • Click Save & Close.
  • Finally, change the Properties of your Public Folder so that you and others can access it as an Address Book. Go back to the Folder List and find your folder in the Shared Contacts folder. Right-click it and select Properties.

  • Click on the Outlook Address Book tab and put a check mark beside Show the folder as an e-mail Address Book. Click OK.

  • Send an email to the individuals who now have access to let them know the name of the folder.
  • TIP: If you are going to be modifying the entries in your Public Folder regularly, you can create a "Favorite" to access it more quickly.

    1. Right click on the folder and select Add to Favorites.

    2. Click Add in the next window. You can then get to the folder by going to Favorites under Public Folders.

    Shared UTORexchange Mailbox - Giving Delegate Access to Others using Outlook for Windows

    If you are the owner of a shared mailbox and wish to delegate access, you can only grant access to those who have a UTORexchange account.

    You will access management groups which you will then modify to include people who require delegate access. The groups will have names like mailbox_name-FullAccess and mailbox_name-SendAs and indicate two levels of access:

    • FullAccess gives the user the ability to read, delete and change items in the mailbox. Please note that if you want the user to be able to send on behalf of the shared mailbox, you must give them SendAs access as well.
    • SendAs grants the user the ability to send a message on behalf of the shared mailbox).

    1. Go to the Shared Mailbox Group Access Tool and click Continue.

    2. Enter your UTORid and password and click Log in.

    3. Type the mailbox name or email address and click OK.

    4. Choose Visible and click Apply.

    5. Your settings will be changed. Now you can access these groups and modify the membership to include those requiring delegate access.

    6. In Outlook, click on the Address Book icon.

    7. Select All Groups (Outlook 2010) or All Distribution Lists (Outlook 2013) from the Address Book pull-down menu. If you don't see the groups for your shared mailbox, type the name in the search field and press Enter.

    8. Double-click on the group you wish to modify.
    9. Click Modify Members.

    11. Find the names in the list of contacts, and double-click each name you wish to add.

    12. Click OK, then OK again.
    13. At this point, you can add this group to your contacts so you can more easily modify group members (see the Modify Access Groups tip for instructions). Click Add to Contacts, then click Save & Close. Click OK to close the group window.

    14. Repeat for the other group if desired, then close the Address Book window.
    15. Since these groups are not intended for public use, they should not be in the Global Address List nor should the list of members be viewable. They are used only to manage who has full access or "send as" access for the departmental mailbox. Hide the access groups again using the Shared Mailbox Group Access Tool.

    Those people who have been granted access will need to set up their email clients.

    Configuring your iPhone (iOS 5) for UTORexchange

    Warning: If you proceed with these instructions,any pre-existing local calendar and contact information on the iPhone will be deleted by Exchange and replaced with your Exchange calendar and contact information. If you use MobileMe, the Exchange calendars will appear in the listing of Calendars separate from MobileMe calendars.

    1. From the home screen, choose Settings, then Mail, Contacts, Calendars, then Add Account.
    2. Tap Microsoft Exchange at the top of the list.

    3. Enter your Email address, Username (your UTORid) and Password, and a description of the account.  Leave Domain blank.

    4. Tap Next. In the Server  field enter: exactivesync2010.utoronto.ca under. Keep Domain blank.

    5. Once the iPhone has confirmed connectivity with the Exchange server, you will be asked which type of folders to synchronize. By default Email, Contacts, and Calendars are selected.

    Once you save this information, the device will begin to synchronize. When it is done, your iPhone will be configured for your UTORexchange account.

    For iPhones with an operating system older than iOS4 You cannot use both Gmail Push and UTORexchange as iPhone only allows for one Exchange account.

    Help with UTORexchange

    Recovering Deleted Messages
    Please note that the mail administrators cannot restore UTORexchange folders. If you need to recover deleted messages, you should use the Recover Deleted Items feature available in Outlook on a Windows machine, or in the web interface. The articles below provide instructions on using the feature. If you have problems using it, contact your local IT support person, or one of the Help Desks .

    Other mail clients such as Thunderbird, Outlook for Mac and Entourage do not allow email recovery. Use the OWA web access instead.

    UTORexchange Calendar — In addition to basic calendaring features, UTORexchange Calendars allow for sharing of calendars, setting up meetings, and managing resources.
    Shared Mailbox
    Shared Mailboxes on UTORexchange — Shared mailboxes fill the role of departmental email accounts under UTORmail. Existing departmental email accounts may be migrated to become UTORexchange Shared Mailboxes.

    Configuring your iPhone (iOS 6 and up) for UTORexchange

    Once you save this information, the device will begin to synchronize. When it is done, your iPhone will be configured for your UTORexchange account.

    Using the Password Reset Tool

    Once you have registered for the Password Reset tool, you may use it any time you have forgotten your password if you chose either the SMS text message or alternate email address option. If you chose In-Person Only you will need to visit a Help Desk.

    Resetting Your Forgotten Password

    1.  Go to UTORid Management and select reset your forgotten password under Password and Account Management.
    2.  Enter your UTORid and click Next

      If you chose the Alternate Email Address option, the next screen will ask for a Security Code, which has been sent to your alternate email address (note: this message is valid for 15 minutes). Enter that code in the appropriate field and click Next. If you do not see the messages in your Inbox, check your Spam or Junk folders and mark the message as not spam to prevent it from going to your Spam or Junk folder in the future.

      If you chose the SMS - Mobile Phone option, the next screen will ask for the last four digits of your cell phone you provided when setting up for this service. Enter the last four (4) digits and and click Next. You should then see a confirmation that a text message has been sent to your number. You should receive a text message with a security code on your phone.

      Enter that code in the appropriate screen and click Next.

    3. The next screen prompts you to create a new password.  Click Next to submit the password change request.  If there are no errors, you will see a confirmation that your password has been changed. Exit completely from the browser once you are finished.

    UTORexchange account web access

    You can log in to your UTORexchange account on any web browser using Outlook Web Access.

    To log in:

    1. Go to owa.utoronto.ca.
    2. In the Domain\user name field, type utorarbor\UTORid (where UTORid is your actual UTORid).
    3. In the Password field, type your password.
    4. Click Log On.

        Domain: Leave blank
        Username: (this is the same as your email address and is usually of the form "firstname.lastname@mail.utoronto.ca")
        Password: your UTORid password
      5. Tap Next.

      6. Once the iPhone has confirmed connectivity with the Exchange server, you will be asked which type of folders to synchronize. By default Email, Contacts, and Calendars are selected. Tap Save.
      7. When you have completed the setup process, your mail and other selected options will begin syncing.

    Connect to the UofT Wireless Network on an iPhone/iPad/iPod Touch

    1. Go to Settings.

    2. Choose Wi-Fi. If your Wi-Fi is turned off turn it on.
    3. From the list of available networks select UofT.
    4. You will be prompted for your user name and password. Type your UTORid and password in the appropriate fields. Tap Join.

    Wireless Access

    Description

    There are many wireless networks available on campus. The Help Desk provides support for 2 networks (UofTand eduroam).

    The UofT wireless network supports wireless b, g and n and does not require a browser-based login each time you connect. For devices capable of wireless n, it is faster and has increased range. If you have problems setting up and/or connecting to this network, please contact us at 416-978-HELP (4357).

    The eduroam network at UofT is intended for visiting scholars from other participating eduroam institutions. U of T faculty and students can log in to eduroam at other universities using their UofT credentials.

    Eduroam

    eduroam is a wireless network system that provides access to wireless Internet when visiting other participating institutions. Support is available from your home institution. For more general information regarding eduroam (including participating institutions), please visit eduroam.org.

    Note: We recommend that UofT faculty, staff and students set up and test their computers prior to travelling to a partner institution. Once it is  set up, you will have wireless access to any eduroam-enabled institution in the world. While at UofT, you should be using UofT's wireless network (UofT).

    Connecting from Supported Operating Systems

    The following instructions provide a step-by-step guide to connect your computer to eduroam. They are intended for users based at U of T.

    General Connection Settings

    If your device does not use one of the supported operating systems, you may try the general settings provided below.

    • Authentication (EAP): PEAPv0 (also known as PEAP with MSCHAPv2)
    • Approve a certificate from:radius.wireless.utoronto.ca
    • Login name: UTORid (where UTORid is your UTORid)
    • Password: UTORid password

    Avoiding Email Fraud

    What is email fraud?

    If you use email there's a good chance you have seen fraudulent messages at some point. Email fraud can take many forms, such as requests for help, bogus offers, or requests for personal data.

    The messages requesting personal data are typically referred to as phishing scams and can come from sources that appear legitimate, for instance a bank or a trusted institution such as UofT. They attempt to get you to divulge personal information, such as user names, passwords, banking information, etc. They succeed in getting this information if you respond to the emails, or if you log into a website that imitates the legitimate website. They tend to try to instil a sense of urgency by telling you that your account will be deactivated or some other limiting measure will be taken.

    What effect does it have?

    If you are the victim of such an attack, confidential material in that account is subject to unauthorized access. It is also common for compromised accounts to be used to send unsolicited email to others who may fall victim because they trust messages coming from those accounts. When many accounts from the University are compromised, other institutions may block all email messages coming from UofT in order to protect their own clients.

    How can I recognize and avoid phishing scams?

    UofT and other legitimate organizations will NEVER send requests for passwords or other personal information via email. If you receive a message requesting your user name or password to any accounts, DO NOT provide it. If the message provides a link to a website, DO NOT click on it. Instead, you should delete these messages.

    If you have clicked on a link in a suspicious message, look closely at the URL and make sure you recognize it before continuing. The example below shows how misleading addresses can be formatted:

    UofT's weblogin page and UTORid management page have added security. For the weblogin page, there is an Extended Validation (EV) server certificate installed which provides a higher degree of assurance than other certificates. In most cases, a green bar indicates the EV server certificate. Other indicators are described below. If you do not see a key indicator do NOT enter any information. If you are unsure, call the Help Desk for assistance.

    Warning: Fraudulent emails being sent requesting your user name and password

    We regularly see fraudulent emails from parties claiming to represent the University requesting that you reply with your user name and password, or that you verify these at a fraudulent website (sometimes this will look like a link to a legitimate website, but the link points to something else). We will never request that you send us your password by email.

    Often these emails can be spotted because they use phrasing that seems out of place (TORONTO University instead of University of Toronto), poor grammar, and a number of typos. This is not always the case. As a general rule: Never provide usernames (UTORid), passwords or any other personal information by email. This is not specific to UofT; banks and other institutions will never request that you send them an email containing your password. If you have concerns about the validity of a request you can forward the email to help.desk@utoronto.ca or call us at 416-978-HELP (416-978-4357). 

    Never use your UTORid and Password on a site that you are not 100% sure is a legitimate U of T website. The best way of making sure you are at a U of T site is to start at www.utoronto.ca and search for the desired content there - for instance if you search for "UTORmail quota" from U of T the first result will be one of the Information Commons Help Desk Knowledge Base (this website) - from there you will find instructions to get to the page you need. Personal Information like username and passwords should only be entered on on known websites and these websites should be secure. Secure websites are preceeded by the prefix HTTPS insteat of just HTTP.  When you are on a secure website you should see a little padlock icon either in the address bar, just above it, or on the lower right corner of your browser window where it looks like this: secure website padlock icon

    U of T's websites are also verified as secure by third-party EV (extended verification) providers. Web browsers will disply display text in green or in a green background. Different browsers will look slightly different.

    Change ownership for a Shared UTORexchange Mailbox

    To change the ownership of a shared UTORexchange mailbox, the current owner should:

    1. Contact Robarts Reader Registration at reader.reg@utoronto.ca to transfer ownership of the shared mailbox over to the new owner.

    2. Once the shared mailbox owner has been updated by Reader Registration, please send an email request to help.desk@utoronto.ca and state:  I am the owner of this mailbox and I want the new owner to be new owner to be:   UTORid of new owner

    Please note the new owner must have an account on the UTORexchange server.  Migration instructions can be found here.

    Can I change my email address?

    If you want to change your individual email address (firstname.lastname@mail.utoronto.ca OR firstname.lastname@utoronto.ca), you will be able to change the firstname part only.

    Email addresses at the University of Toronto fall into three categories: individual, departmental and non UTmail+/UTORexchange/UTORmail. Individual accounts are those consisting of firstname.lastname@mail.utoronto.ca OR firstname.lastname@utoronto.ca. Departmental accounts can be anything@utoronto.ca. Non-UTmail+/UTORexchange/UTORmail accounts do not end in @mail.utoronto.ca OR @utoronto.ca (e.g. yourname@xyz.utoronto.ca). If your email is a UTmail+/UTORexchange/UTORmail account, read the appropriate section below. Otherwise, contact your local IT support for help with your non-UTmail+/UTORexchange/UTORmail accounts.

    Important note: An email address change is, in practice, a replacement of your old account. This means that any messages sent to your old address will be returned to the sender. Also, since your previous address will become available for others to use it is possible that someone with the same last name can claim the old address and receive mail intended for you. It is the responsibility of the email user to inform all of their correspondents of any email address change. Any email address changes submitted take until the next day to be implemented.

    Individual accounts
    Individual email accounts have the form of firstname.lastname@mail.utoronto.ca OR firstname.lastname@utoronto.ca (e.g. jane.smith@mail.utoronto.ca OR jane.smith@utoronto.ca). These accounts can have the firstname of the address changed only. For example, jane.smith@mail.utoronto.ca to j.smith@mail.utoronto.ca OR jane.smith@utoronto could be changed to j.smith@utoronto.ca. To change the first part of your e-mail address go to the UTORid Change your e-mail address website.

    If you have changed your last name legally, then you must register this change with the University. If you are a student, you need to change it with ACORN. If you are a member of staff or faculty, you should contact Human Resources. After you have changed your name in the University records, you can send a request to help.desk@utoronto.ca to have your email address changed. Be sure to include your UTORid and/or library number with the request to assist the Help Desk staff in processing your request.

    Departmental address
    Departmental addresses are used by academic departments, student groups and others (e.g. information.chemistry@utoronto.ca).  These accounts can be changed to anything else (e.g. cheminfo@utoronto.ca) considered reasonable by the department. That change can be performed at the change UTORid e-mail address website.

    Non UTmail+/UTORexchange/UTORmail accounts
    If your email address does not end in @mail.utoronto.ca OR @utoronto.ca, it is a departmental account (e.g.,an email address that ends in @something.utoronto.ca or @name.toronto.edu – for example: @math.toronto.edu, @cs.toronto.edu, @psych.utoronto.ca, etc.). You should contact your local IT support for changes to this account.
