Shared UTORexchange Mailbox - Miscellaneous Tips

Accessing the Shared Mailbox from your Individual Account:

  • when you send a message from the shared account, a copy of that message will be put in the Sent Items folder for your individual mailbox. If you want these sent items to be in the shared mailbox Sent Items folder instead, you will need to move/copy them manually.
  • if you are sending a message from the shared mailbox, you will need to change the From: field, otherwise it will appear to have come from your individual mailbox. See instructions in Send a Message As below.

Send a Message As

Whether you are the owner of the shared mailbox or a delegate with Send As permission, you follow the same steps to send a message from the shared mailbox:

  1. Create a new message.
  2. If the From field does not appear, change your options so it does
    In Outlook 2007, go to the Options tab and click the Show From button
  3. Click From in the Compose window.
  4. Type in the email address of the shared mailbox and click to select it in the list below.
  5. Click OK.
  6. Continue composing the email.

Modify Access Groups

  1. Go to the Contacts view and double-click on the group you wish to modify (either mailbox_name-FullAccess and mailbox_name-SendAs).
  2. In the Distribution List window, double-click on the group.
  3. Click Modify Members

  4. Cick Add (or select a name and click Remove).

  5. Find the names in the list of contacts, and double-click each name you wish to add.

  6. Click OK, then OK, then OK again.
  7. Click Save & Close.

Setting up Out of Office messages

In Internet Explorer using OWA Premium.

  1. Open Internet Explorer.
  2. Go to https://owa.utoronto.ca/ and login.
  3. In the top right corner, click on the down arrow beside your username.

  4. Type the name of the shared mailbox or the email address and click Open.
  5. The shared mailbox will open (in Outlook Web Access) in a new browser window.

OR, in OWA Light in a browser other than Internet Explorer.

  1. Open a web browser.
  2. Go to https://owa.utoronto.ca/exchange/firstame.lastname@utoronto.ca (where you replace firstname.lastname@utoronto.ca with the email address of the shared mailbox). You will be taken to the same login screen you see when you access your own mailbox.
  3. Log in with your own username and password at the prompts. The main OWA screen will display the Inbox and other folders for the shared mailbox.

Once you are logged in to the shared mailbox:

  1. Click Options, near the upper-right corner.
  2. On the left side, click Out of Office Assistant.
  3. Select Send Out of Office auto-replies, choose options such as Start Time and End Time, and type the desired auto-reply message underneath.
  4. Click Save near the top.

Locate and Re-attach Personal Folders and Contacts in Outlook.

Personal Folders and Contacts:

Your Personal Folders/Local Folders etc. in your old IMAP account will not be automatically migrated across with your online folders. This is because personal folders sit locally on your computer rather than on the mail server. To keep these folders and contacts, you must re-attach or import them to your new Outlook Exchange account. If you are currently using Outlook for your email, make note of the location of these files as well as make backup copies BEFORE you create your new Outlook profile for Exchange.

Once you've finished configuring Outlook for Exhcange, you can re-attach/import personal folders and contacts.

Outlook Users - Locate Your Outlook Personal Folders:

If you are using Outlook as your IMAP email client, your Outlook .pst  files contain previous Outlook settings, including locally stored email, sent mail and contacts. These items will not be moved during the migration. Once you have created the new profile for Exchange, you may not automatically have access to these folders.

  1. In Outlook, click on the File menu and choose Data File Management..
  2. Select the Personal Folders (you might have more than one) in the list, and click on the Open Folder button.
  3. In here, you will see the .pst file that contains your Personal Folders highlighted. Make a note of the path in the address line (you could copy and paste into a Notepad file) and also make a note of the name of the file itself. You do this so that you can identify the file when you come to re-attach it. It may look something like this: C:\Documents and Settings\Your Login name\Local Settings\Application Data\Microsoft\Outlook
  4. You can back up .pst files by making a copy of the Outlook folders you found in the steps above and moving the copy to a safe place such as c:\mailmigrationbackup.
  5. If you come to this section as part of the process of setting up your Exchange account, you can now configure Outlook 2007. Once you have set up your new profile and logged into Outlook, you can go through the section on re-attaching the personal folders and sent items below.

Outlook Users - Personal Folders and Contacts:
Re-attach Personal Folder/Sent Items

  1. Go to File / Open and choose Outlook Data File.
  2. Outlook goes to the place where it expects your file to be and presents it. You then just need to click on the file you made note of earlier (usually this file is called Outlook.pst).
  3. If Outlook does not open up where your file is, browse to the correct location and select the file. If you did not make note of the pst file location earlier, you can use Windows Search to locate it by searching for *.pst.

  4. Click OK. Your Personal Folders will appear in the Navigation pane, with any emails that you put in there, plus your old sent items.

Move your IMAP Sent Items into your Exchange folder
If you wish to keep your sent items, it would be a good idea to copy them into your Exchange Sent Items folder. To do this:

  1. Click on your Sent Items folder in your Personal Folders to display the emails.
  2. Click on any email, and then click on the Edit menu and then Select All (or Ctrl + A).
  3. Select Move to Folder from the Edit menu.
  4. In the list, select your Exchange Sent Items folder (make sure that you haven’t selected your IMAP Sent Items by mistake), and click OK.

Copy your Local Contacts to the Exchange Server
To make a copy of your local Contacts to the Exchange server:

  1. Click on the Contacts tab near the bottom of your Outlook screen. You should see a list of all the contacts that are currently in your Personal Folders. If not, click on Contacts in Personal Folders on the left hand side (or whatever name you gave your local contacts), click on one of your contact’s name, then press Ctrl+A. This should highlight all of your contacts.
  2. Press and hold the Ctrl key and drag the contacts to your Exchange Contacts folder (make sure not to put them in any of your local contacts folders if you have more than two folders).
  3. Your contacts should now be on the Exchange Server and should appear when you select the Contacts folder.

Missing "Mail" icon in control panel

If you cannot find the Mail icon in the control panel, it may be hidden in the view you are using.

Windows 7

In the upper right corner of the Control Panel window, click View by: Category and select Small icons. The mail icon should now be present.

Note: If you are using a 64-bit version of Windows 7, the mail icon will be listed as Mail (32-bit).

Windows Vista

In the left-hand panel, click Switch to Classic View. The mail icon should now be present.

If you are using a 64-bit operating systems, click on View x86 Control Panel Icons located in the left column. The mail icon should now be present.

Transend Migrator to Convert Local Folders from Thunderbird into Outlook

These instructions are for Windows Vista.

Because your Exchange account has a maximum storage of 350 MB, we recommend you import your Thunderbird Local Folders into an Outlook personal folder. You will first need to create a personal folder in Outlook.

Prepare for folder conversion

  1. In Outlook, go to File\New and choose Outlook Data File.
  2. In the New Outlook Data File window, make sure Office Outlook Personal Folders File (.pst) is selected. Click OK.
  3. You will now create a new .pst file located on your hard drive.Type a name for the file (e.g. Thunderbird Imports) and click OK.
  4. In the next window, type the same name in the Name field. This name is what will appear in your folders list in Outlook . Click OK.

Convert your folders

  1. Open Transend Migrator.
  2. In the Transend Migrator License window click OK.
  3. In the Welcome screen choose Message Folders. Click Next.
  4. In the next window, choose Netscape/Mozilla under Convert From and Exchange/Outlook under Convert To. Click Next.
  5. Locate your Thunderbird Local Folders.
    • If you know where your local folders are, click the Browse button and navigate to the location. Select the folder and click Open.
    • If you do not know where your local folders are, search for Local Folders (from the Start menu or Windows menu), and make note of the path it displays in the Search results window. This is where you will need to browse to when you return to Transend Migrator.
    NOTE: make sure the path is pointing to Thunderbird Local Folders and not to some other mail program.
    The path to your Local Folders should look similar to the following:

    C:\\Users\Usernam\AppData\Roaming\Thunderbird\Profiles\wed6t0nz.default\Mail\Local Folders

  6. Click Next.
  7. In the Exchange/Outlook Information screen, click Browse and find the .pst file you created in the section Prepare for folder conversion above. Select the file, click Open, then click Next. (Again, if you can't find it, search for the .pst file from the Windows desktop and make note of the path).
  8. In the next window, select the folders you want to convert (i.e. Inbox, Outbox, Sent items, etc.). Hold the Ctrl key to make multiple selections. Click Next.
  9. In the Miscellaneous Options window, you can limit what message are converted by choosing from the options available. If you do not need to make any changes, you can leave all the default values. For example:
    • Convert only messages with specific text within the body. Type the text in the field and choose In Text, In Attachments or Case Significant.
    • Set maximum attachment size.
    • Choose a date to convert items sent after a given date.
  10. In the Message Store pull-down menu, select Personal Folders.
  11. Click Start.
  12. You will see a Conversion Report. Click OK, then click Exit.
  13. In Outlook you should see a folder called Netscape Folders in the personal folder you created. This will contain your converted folders/messages.

Creating a generic email address (shared mailbox)

A shared UTORexchange mailbox provides a single generic email address that can be used by multiple people within a department. These mailboxes follow the form department.function@utoronto.ca or department@utoronto.ca.  For example,

geography.information@utoronto.ca
registrar@utoronto.ca
telecom@utoronto.ca

If you require an address for a Recognized Campus Group, Course Union or Student Societies go to Ulife .

Note: These email addresses will be created on the UTORexchange system. All owners and delegates must also be on UTORexchange in order to access it. See the article Shared UTORexchange Mailboxes for more details about the service.

To create a shared email address or shared mailbox, follow these steps: 

  1. Obtain a letter on departmental letterhead from your organization which includes the desired email address and the name, telephone number and email address of the person responsible for the new email account. The account information will be mailed to the person responsible. If you wish to receive the information via email, please indicate that in the letter.
  2. Submit the letter to Robarts Library Reader Registration in one of the following ways:
  • by email – scan the letter and send it as an attachment to reader.reg@utoronto.ca
  • fax the letter to 416-971-3131, or
  • bring the letter in person to the Reader Registration Desk, Robarts Library, 1st floor on the St. George Campus
  • You will be given a library number and alternate ID number which you will use to create your shared mailbox. 
  • Go to the UTORid Management page and click Create your UTORid. Here, you will be prompted to enter the library and alternate ID number that you have been given. Note that this will not actually create a new UTORid but will associate the shared mailbox with the person who has been designated as the owner. 
  • You will then be guided through the process for creating a shared mailbox.

    Description


    UTmail+ is the student email and calendar service at the University of Toronto. The service is powered by Microsoft’s Office 365 platform and supports integrated email, calendaring, contacts and task lists.

    UTmail+ lets you use a web browser to access your mailbox from any computer that has an internet connection. You can also access UTmail+ through mail clients like Outlook, or mobile devices like iPhone.

    Note: The instructions below help you set up your device or application using Microsoft Exchange, or IMAP. We do not recommend or support using POP to retrieve your email.

    Please note: When you log in to UTmail+ using the Outlook Web App, your login is managed by the University of Toronto. Any means of accessing the UTmail+ service other than through a web browser will securely transmit your UTORid and password through Microsoft’s systems.

    Note: Your device might have slightly different labels and screens from those shown below. Contact the Help Desk at help.desk@utoronto.ca or at 416-978-4357 if you have any questions. 

    Your Windows Mobile 8 phone must be compatible with Exchange ActiveSync for this to work.

    1. Before configuring your device, ensure that you can successfully sign in via a web browser at https://mail.utoronto.ca/ . Exit the browser when done
    2. On the home screen (which displays your apps as tiles), swipe left to display the list of Apps.
    3. Tap Settings, email+accounts, add an account, Exchange.
    4. Enter your email address (usually of the form "firstname.lastname@mail.utoronto.ca") and password.
    5. Tap sign in.
    6. Your device will attempt to use Autodiscover to fill in your username and server automatically. If it fails, you will be taken to the manual setup screen where you will need to fill in some information (see below). If it succeeds, proceed to step 7.

      Email address: usually of the form "firstname.lastname@mail.utoronto.ca".
    7. Password: your UTORid password
      User name: (this is the same as your email address and is usually of the form "firstname.lastname@mail.utoronto.ca") Note: if you experience problems with this setting, please see our article about changes to UTmail+ account settings.
      Domain: leave blank.

    8. Tap done
    9. On the email+account page, you can click on the newly added UTmail+ account (it may be labelled as Utoronto) to rename the account to UTmail+, along with adjusting other settings which includes how many emails to download to the device, what information to sync, etc.
    10. To access UTmail+ from your Windows Mobile 8 device, click UTmail+ from your Apps list. You can also 'pin' it to your home page by clicking and holding onto the icon in the Apps list, then tapping pin to start.

    UTORid Password Management

    UTORid Service Eligiblity

    Services Utilizing UTORid

    Below is a list of the services that require a UTORid and password. However, you may not be eligible for all of these services.

    UTmail+ — UTmail+ is the student email and calendar service at the University of Toronto. The service is powered by Microsoft’s Office 365 platform and supports integrated email, calendaring, contacts and task lists.

    UTORexchange — UTORexchange is the University's institution-wide email and calendaring system for faculty and staff. This service provides seamless integration of email, webmail, and calendaring.

    UTORmail — UTORmail is one of the email services at the University of Toronto for staff and faculty.

    Blackboard/Portal — The Portal is the place for students and faculty to access course material.

    Computer access on campus — Computer Access Facilities are located in many libraries around campus. They offer workstations with full Internet access.

    Wireless internet access — The campus wireless network (UTORcwn) provides wireless internet access around campus. 

    UTORweb — UTORweb provides space on U of T's web server for personal webpages, pictures, word-processing documents, etc. You can use it to share documents with others, or you can use it as a way to save and access documents from any computer connected to the Internet.

    Library online resources — U of T has subscriptions to many electronic resources, which you can access with your UTORid or library barcode.

    UTORvpn — Access to certain resources is restricted to computers connected on the UofT campus network. To allow access to these resources from outside the campus network, faculty, staff, and graduate students can use the UTORvpn (Virtual Private Network) service.

    ROSI — ROSI accounts are used for course selection and academic and financial records. Help with ROSI (including PIN resets) may be obtained through your registrar's office.

    My course does not appear when I am logged in

    There are four basic reasons why a course will not appear:

    • You may not be registered for the course in ROSI. Check ROSI or with your registrar to confirm you are registered.
    • If you have just recently registered in the course, it will not appear until the database is updated, which happens overnight.
    • The course may not be offered on Blackboard this session.
    • The instructor may not have made the course available yet. Confirm with your instructor that the course is available to students.

    I am not receiving emails from my instructor

    To receive emails from Blackboard you must have entered a University email address with ROSI. Acceptable email addresses will end in @mail.utoronto.ca, @utoronto.ca, @toronto.edu, or @department.utoronto.ca (e.g. @physics.utoronto.ca). To set the email address, log in to ROSI and click Personal Information > Email. If that email does not conform to the standards above, click Edit and enter an appropriate email address.

    Accessing Blackboard/Portal

    You use your UTORid and password to access Blackboard. Support for the UTORid and password is provided by the Help Desk.

    Logging In

    The Blackboard address is https://portal.utoronto.ca. Log in using your UTORid and password.

    What is my UTORid and password?

    The UTORid is your key to a number of University of Toronto services, including access to your course on Blackboard. To obtain a UTORid, you first need to obtain a TCard from a TCard Office. Your UTORid is printed on the TCard. If you are a new student, you should receive a printout that shows you how to activate your UTORid. If you are a returning student, refer to the "Forgotten UTORid password" article if you have forgotten your password.

    Why can I not log onto the Blackboard with my UTORid?

    • Ensure that the Caps Lock is not on. Then re-type your password.
    • You may not have activated your UTORid. See the UTORid activation article for instructions.

    Computing Facilities at the University of Toronto St. George Campus

    The Information Commons (IC) maintains computers within the Computer Access Facility on the first floor of the Robarts Library as well as at other libraries on campus. The IC also provides other computer-based services such as document and film scanning (Digital Studio), event recording (Media Production) and distribution (Media Distribution).  The Information Commons Help Desk provides help with accessing the computing facilities at the Robarts Library.

    Student, staff and faculty — If you have an ongoing relationship with the University of Toronto, as an active student, active staff, or faculty, you should be able to log in to the Robarts Library computers using your UTORid and password.  If you are unsure, you can always check which services you are eligible for.

    Direct borrowers — As a direct borrower, you get access to library computers at the Robarts Library but must use your library card to log in. 

    Visitors — Visitors to the Robarts Library can use LIRA workstations using a temporary 24-hour login and password.The LIRA computers are reserved for academic research only. Email, chat, games, gambling, programming and recreational Internet searching are not permitted. Patrons are requested to restrict use to 30 minutes

    Printing — The Robarts Library offers printing services on the first and fourth floors.  Printing can be done from any computer in Robarts Library and can be picked up either on the first floor or the fourth floor depending on which printer was selected on the computer. Payment is made using a TCard or a printing card once money is added to the card via one of the cash-to-card machines.  A printing card can be obtained for $5 at the cash-to-card machines (with no balance).     Notice:  The University of Toronto's subscription to Symantec Endpoint Protection expired in 2012. If you currently have this software installed it will continue to function, including new virus definition updates, but will no longer receive version upgrades to the software engine. If you do keep a Symantec product in place, please ensure you or your unit have a suitable license subscription to remain in compliance otherwise you should install a different antivirus package. The University's recommendations are available on the Antivirus website.

    Removing Symantec Software

    You should uninstall Symantec Endpoint Protection before installing any other antivirus product. If you need help uninstalling Symantec Endpoint Protection, please contact your local IT support personnel. 

    IT support personnel assisting faculty and staff with removal of Symantec Anti-Virus products who encounter difficulties can obtain an uninstall tool from the End User Computing (formerly CAST) team by emailing cast.help@utoronto.ca

    There are many wireless networks available on campus. The Help Desk provides support for 2 networks (UofTand eduroam).

    The UofT wireless network supports wireless b, g and n and does not require a browser-based login each time you connect. For devices capable of wireless n, it is faster and has increased range. If you have problems setting up and/or connecting to this network, please contact us at 416-978-HELP (4357).

    The eduroam network at UofT is intended for visiting scholars from other participating eduroam institutions. UofT faculty and students can log in to eduroam at other universities using their UofT credentials.

    Before you can access the UofT network, you will need to register your UTORid by using the verify tool even if your UTORid is working for other services. There will be a short delay between verifying and being able to access UofT. The following instructions will provide a step-by-step guide to connect your computer.  Please note that the device will be configured with the UTORid and password that was used to set it up, and it is therefore not recommended for shared computers or devices.

    Eduroam

    eduroam is a wireless network system that provides access to wireless Internet when visiting other participating institutions. Support is available from your home institution. For more general information regarding eduroam (including participating institutions), please visit eduroam.org.

    Note: We recommend that UofT faculty, staff and students set up and test their computers prior to travelling to a partner institution. Once it is  set up, you will have wireless access to any eduroam-enabled institution in the world. While at UofT, you should be using UofT's wireless network (UofT).

    Connecting from Supported Operating Systems

    The following instructions are intended for users based at U of T.

    Before you can access eduroam, you will need to verify your UTORid. There will be a short delay between verifying and being able to access eduroam. The following instructions will provide a step-by-step guide to connect your computer to eduroam.

    General Connection Settings

    • Approve a certificate from:radius.wireless.utoronto.ca

    Connect to the UofT wireless network on Android 3.0 or higher

    Note: These instructions were created using a Nexus 6 running Android 5.0. Labels for fields and buttons, and how screens are organized may differ slightly from device to device, depending on the version of Android you are running.

    1. Before you can use the UofT wireless network, you must verify your UTORid (you will only need to do this once). Go to https://www.utorid.utoronto.ca/ and click on verify under Problems with your UTORid?.
    2. Enter your UTORid and password and click Check. You should see a message stating “Your UTORid and password have been checked and should work.” If you don’t, you will have problems logging in to the UofT wireless network.  There will be a short delay between verifying and being able to access UofT wireless network.
    3. Go to Settings, and choose Wi-Fi.
    4. Turn Wi-Fi on if it is not already.
    5. You should now see a list of available wireless networks. Tap UofT.

    6. In the next screen, choose the following settings:
      • For EAP method, choose PEAP
      • For Phase 2 authentication, choose MSCHAPV2
      • For CA certificate and User certificate, leave as Unspecified
      • In Identity, type your UTORid
      • In Password, type your password
      • Tap Connect

    7. If it does not connect properly, turn Wi-Fi off and then on again.You will see the status of the connection under Wi-Fi.

    Help with UTORexchange

    Recovering Deleted Messages
    Please note that the mail administrators cannot restore UTORexchange folders. If you need to recover deleted messages, you should use the Recover Deleted Items feature available in Outlook on a Windows machine, or in the web interface. The articles below provide instructions on using the feature. If you have problems using it, contact your local IT support person, or one of the Help Desks .

    Other mail clients such as Thunderbird, Outlook for Mac and Entourage do not allow email recovery. Use the OWA web access instead.

    UTORexchange Calendar — In addition to basic calendaring features, UTORexchange Calendars allow for sharing of calendars, setting up meetings, and managing resources.

    Description

    UTmail+ is the student email and calendar service at the University of Toronto. The service is powered by Microsoft’s Office 365 platform and supports integrated email, calendaring, contacts and task lists.

    UTmail+ lets you use a web browser to access your mailbox from any computer that has an internet connection. You can also access UTmail+ through mail clients like Outlook, or mobile devices like iPhone.

    Note: The instructions below help you set up your device or application using Microsoft Exchange, or IMAP. We do not recommend or support using POP to retrieve your email.

    Giving Delegate Access to Others

    If you are the owner of a shared mailbox and wish to delegate access, you must be using Outlook on a PC (versions 2007, 2010 or 2013). You can only grant access to those who have a UTORexchange account.

    You will access management groups which you will then modify to include people who require delegate access. The groups will have names like mailbox_name-FullAccess and mailbox_name-SendAs and indicate two levels of access:

    • FullAccess gives the user the ability to read, delete and change items in the mailbox. Please note that if you want the user to be able to send on behalf of the shared mailbox, you must give them SendAs access as well.
    • SendAs grants the user the ability to send a message on behalf of the shared mailbox).

    Outlook

    1. Go to the Shared Mailbox Group Access Tool and click Continue.

    2. Enter your UTORid and password and click Log in.

    3. Type the mailbox name or email address and click OK.

    4. Choose Visible and click Apply.

    5. Your settings will be changed. Now you can access these groups and modify the membership to include those requiring delegate access.

    6. In Outlook, click on the Address Book icon.

    7. Select All Groups from the Address Book pull-down menu. If you don't see the groups for your shared mailbox, type the name in the search field and press Enter.

    8. Double-click on the group you wish to modify.
    9. Click Modify Members.

    11. Find the names in the list of contacts, and double-click each name you wish to add.

    12. Click OK, then OK again.
    13. At this point, you can add this group to your contacts so you can more easily modify group members (see the Modify Access Groups tip for instructions). Click Add to Contacts, then click Save & Close. Click OK to close the group window.

    14. Repeat for the other group if desired, then close the Address Book window.
    15. Since these groups are not intended for public use, they should not be in the Global Address List nor should the list of members be viewable. They are used only to manage who has full access or "send as" access for the departmental mailbox. Hide the access groups again using the Shared Mailbox Group Access Tool.

    Those people who have been granted access will need to set up their email clients.
